Launching your benefits scheme with a bang
If your plans for 2007 include launching or re-launching a benefits scheme, getting your employee communications right is key. So how do you build a programme that optimises enrolment and engages your employees?
Understand your audience
Before you start to put your plans together, spend some time mapping your audience. Not everyone likes to receive information in the same way - it's a good idea to tailor your communications to individual needs as much as possible.
For example, emails might work really well for your office-based staff, but not so well for those out in the field, who may prefer telephone messages they can dial into in the car. Use factors such as geographical location, type of work and cultural customs to define your different audiences and understand the best way to communicate with all the groups.
Match your message to your media
You will probably use a variety of media across your communications programme for your different audiences. To get the best results, match the type of activity to the message you are trying to get across. For example, providing training on how to use your benefits selection software is best done online or in person, rather than with printed manuals. On the other hand, it's best to provide the information on the actual benefits offered, in print - so that employees can easily consult with their families or financial advisors. It's also easier to read the small print!
Make your employees do the hard work
The messages with the most impact are those which are delivered peer-to-peer. Identify influential employees across your business and ask them to take on the role of "Champion". Give them advance information and training on how your scheme will run and encourage them to share positive feedback with their colleagues. You can use these champions at road shows and presentations, as well as in more informal surroundings. Remember, to get the most from your champions you need to get them involved early, listen and act on their feedback and recognise them when you celebrate your scheme's success.

Generally flexible benefits schemes are received with enthusiasm and interest, so use your launch as an opportunity to raise the HR department's profile, use your creativity and enjoy sharing good news with your company.
